AI integration services that work inside your business
We add practical AI to the tools your team already uses: reading forms and photos, drafting text, sorting new leads. A person approves what matters, and you can see what the AI did and what it cost.
We only describe what we've built. Each example below runs inside a real project.
Photo-to-text intake. In a church's prayer app, staff photograph paper prayer request forms. Gemini transcribes each form into a draft record, and the prayer team reviews it before anything is saved.
Drafting assistants. AI writing tools inside client admin panels draft blog posts that a person edits and approves before publishing. For a real estate brokerage in Baja California, Gemini writes each listing description in English and Spanish from the details the agent captures on a phone at the property.
AI-visibility tracking. Reporting panels that show how a business appears in Google and in AI assistant answers. That work is covered on our AI search optimization page.
Hope, a service navigator for Sacramento. At hope.us.com, a person, or their case worker, describes the situation in plain words and gets a step-by-step plan to local food, shelter, health care and other services. AI pulls out the facts and writes the plan, with Claude and Gemini as fallbacks for each other. If neither is available, a template path without AI still produces a plan. A fixed crisis screen runs first, 211 is always offered as a backstop, and no names or stories are stored.
What we build with AI
Useful AI is usually narrow. It takes one repetitive step, does a first pass and hands the result to a person. We build it into a custom web app with an admin dashboard, or into the CRM you already use, so the output lands where your team works. Typical jobs:
Intake and data extraction: turn photos, PDFs, emails and web forms into clean, structured records in your database or CRM.
Drafting assistants: first drafts of articles, product or listing descriptions, replies and follow-up emails, in your voice and in English or Spanish.
Lead classification and routing: read each new enquiry, tag the service and urgency, and send it to the right person or pipeline.
Internal Q&A over your own documents: your team asks a question and gets an answer drawn from your manuals, policies and past jobs, with the source shown.
Chat assistants, where they help: a website or staff assistant that answers common questions and hands the conversation to a person when it should.
Claude, Gemini and where your data goes
We build on Anthropic's Claude and Google's Gemini through their APIs and choose the model for each task. Where it matters, one can stand in for the other during a provider outage, as it does in Hope.
When the AI runs, only the text or image for that task goes to the provider's API, and the result comes back to your system. Your database stays on your hosting. We send the fields a task needs, not your whole customer list.
The API account can be in your name, with your own keys and billing. You see every charge, you can switch providers later, and nothing depends on our account.
On training: under their current terms for paid API use, Anthropic and Google say they don't use your prompts and outputs to train their models. Free tiers can differ; Google's free Gemini API tier, for example, may use content to improve Google's products. Terms change, so we read the current ones with you before any customer data goes through, and we recommend paid API plans for business data.
A person approves what matters
AI makes mistakes, and it can sound sure of itself when it's wrong. So every workflow we build is designed around review, not blind automation.
Approval steps: drafts, extracted records and outgoing messages wait for a person to accept, edit or reject them.
Logs: each AI step records which model ran, when, what it cost and who approved the result. Whether the full text is kept is your call; for sensitive work, it isn't.
Cost limits: per-run caps and monthly spending limits, so a runaway loop or a traffic spike can't turn into a surprise bill.
Fallbacks: if the AI is down or unsure, the workflow drops to a manual step instead of failing silently.
Privacy rules: sensitive fields stay out of prompts, and some data never needs to reach an AI at all.
Start with one workflow
We don't start with an AI strategy deck. We start with one task your team repeats every week.
Pick the workflow. On a call, we find a task with clear inputs and a clear finish, like typing up paper forms or sorting new leads.
Build a small pilot. We connect it to your real tools and run it on a private preview link, with a person checking every result.
Measure it. Time saved, how often people correct the AI's output, and what each run costs.
Expand or stop. If it earns its place, we widen it or move to the next workflow. If it doesn't, you find out early, before building anything bigger.
AI integration vs. AI search optimization
The names sound alike, but they solve different problems. AI integration puts AI to work inside your business: reading, drafting, sorting. AI search optimization is about AI finding you: making sure ChatGPT, Gemini and Perplexity understand your business and mention it when customers ask. Many businesses need both, and both rest on clean data and clear content.
There are two parts. Building the workflow is a one-time project that we quote in writing. Running it is usage-based: Claude and Gemini charge for the amount of text (tokens) and images they process, so the cost depends on how many items you run and how long they are. Tagging a short lead uses little; reading long documents uses more. During the pilot we estimate usage, show you the real figures from your own API account and set spending limits.
Is my data used to train AI models?
Under their current terms for paid API use, Anthropic and Google say they don't train their models on your API prompts and outputs. Free tiers can work differently. We review the current terms with you, recommend paid plans for business data and keep sensitive fields out of prompts when a task doesn't need them. We can't control how a provider behaves, but we do control what we send.
Can AI connect to my CRM?
Usually, yes. GoHighLevel and most modern CRMs offer APIs or webhooks, so AI can read a new lead, tag it and route it before your follow-up sequence starts. If your CRM can't connect, results can go to a shared inbox, a Google Sheet or a simple admin panel we build.
Do I need a custom app to use AI?
Not always. Some workflows live inside your CRM or in a small script that runs on a schedule. When your team needs screens to review and approve the AI's work, we build them into a custom web app or admin dashboard.
What happens when the AI gets something wrong?
It will, sometimes. That's why a person reviews the output in any step that touches a customer, money or an official record. Logs show what the AI produced and what was changed, so you can see where it struggles and we can adjust its instructions.
Does it work in Spanish?
Yes. Claude and Gemini both work in Spanish, and we write and test the instructions in Spanish too. The real estate listings mentioned above are written in English and Spanish from the same property details.
